Energy Trust announces PowerClerk upgrade – full transition details


The Energy Trust solar program will launch an upgrade to PowerClerk, the solar incentive application platform on Wednesday June 13, 2018. The upgraded platform brings with it many new features such as more accurate generation estimates, better electronic signature tracking, improved administrative controls, and more. The details provided below and in the coming weeks will help you prepare for the transition between the current version and the new upgraded PowerClerk platform.

Prior to the launch, all project data for active and completed projects will be transferred into the new platform. This transition will require a freeze on all application processing from June 8 through June 12. During this time, PowerClerk will be available in “View-Only” mode. Projects in Incomplete status will not be migrated. Only projects that have reached Submitted status or further will be transferred.

Full Rollout Details

New PowerClerk Training Videos, Webinar Sign-Ups Available (May 31)

On May 31, new PowerClerk Training Videos will be made available on the Energy Trust Solar Insider. These videos are targeted at those trade allies who regularly use PowerClerk and cover the basics of navigating the new platform, how to submit an application and revisions, and how to request verifications. Sign-ups will also be posted for two PowerClerk Webinars, a Live Demonstration (on June 8) and a Q&A Session (on June 15). It is strongly recommended that all PowerClerk users attend, however at a minimum, plan on having your company’s primary PowerClerk user(s) attend.

Finalize ALL Pending Submissions — No “Incomplete” Projects (June 7 by 5:00pm)

June 7 will be the last day to Submit applications in the current PowerClerk platform. Any projects still in “Incomplete” status after 5:00pm on this day will not be brought over to the new platform and will need to be re-entered.

PowerClerk Processing Freeze – Project Data “View-Only” (June 7—5:00pm through June 12)

At 5:00pm on June 7, the current PowerClerk platform will “freeze,” or be placed into “View-Only” mode. Trade allies will be able to view their projects, but take no action on them. The PowerClerk technical team will prepare the upgrade and migrate all data for Completed and Active projects. No application processing will occur and no projects will change status during this transition period. Pending review and verification requests will proceed normally.

Webinar: Pre-Launch Live Demo with Robert Wyllie (June 8)

During the processing freeze, Solar Program Coordinator Robert Wyllie will host a Pre-Launch Live Demonstration of PowerClerk, to walk through the new platform. He will highlight some of the new features and go over how to submit new applications, project revisions, and verification requests. It is strongly recommended that all PowerClerk users attend, however at a minimum, plan on having your company’s primary PowerClerk user(s) attend.

Upgraded PowerClerk Opens – User Passwords Reset (June 13)

Once the transition period has successfully completed, users will be notified that they can log in to the upgraded platform. For security purposes, PowerClerk will not migrate over user passwords. When logging in the first time to the upgraded platform, users will need to reset their password by clicking the “Forgot Password” link on the login page.

Application Processing Resumes in PowerClerk (June 13)

After the successful transition period, users will be able to submit new project applications in the upgraded platform. Program staff will continue processing applications normally. Trade allies are encouraged to document their questions and bring them to the Q&A Session on June 15.

Webinar: Post-Launch Q&A Session with Robert Wyllie (June 15)

After launch, and once solar trade allies have had the opportunity to use the new platform, Solar Program Coordinator Robert Wyllie will host a Q&A style webinar to help address any questions that have arisen relating to the new platform. It is strongly recommended that your company’s primary PowerClerk user(s) attend.
